“Is it too early to book?” and “did I wait too long?” are the two questions we hear more than almost anything else. The honest answer is that it depends on what you’re booking, but there are real patterns behind it, not just a vague “the earlier the better.” Here’s the actual timeline, by trip type, and why the window matters more than most people realize.
All-inclusive resorts: 6 to 11 months out
This is the sweet spot for the resorts we book most often. Booking 6 to 11 months ahead gets you first pick of room category, the best shot at early-bird promotions (which often include resort credit, free nights, or upgrades), and time to lock in flights before fares climb. Wait much past the 4-month mark for a popular destination like Cancún, Punta Cana, or Los Cabos during peak season, and you’re choosing from whatever’s left, usually the lower room categories, at whatever the rate happens to be that week.
Peak season and holiday travel: 9 to 12 months out
Christmas, New Year’s, spring break, and Thanksgiving weeks at any beach resort sell out early, and the good rooms go first. If you know you want to travel over one of these windows, treat 9 to 12 months as the real deadline, not a suggestion. We’ve had clients come to us 10 weeks before a Christmas trip only to find the resort they wanted sold out entirely, not just certain room types, the whole property.
Cruises: 9 to 14 months out
Cruise pricing works differently than resorts. The best cabin selection and the lowest deposit requirements are almost always available furthest out, and pricing tends to trend upward as the sail date approaches, not down. If a specific cabin location, deck, or category matters to you, especially balcony or suite categories on popular ships, booking 9 to 14 months ahead is what actually protects that choice.
International trips with multiple stops: 6 to 9 months out
Multi-country itineraries, safaris, and trips built around specific experiences (a rail journey, a small-group tour, a lodge with limited capacity) need lead time not just for pricing but for logistics. Permits, internal flights, and popular lodges can have narrow booking windows of their own, and untangling all of it well in advance is a big part of what we’re doing behind the scenes.
Destination weddings and honeymoons: 10 to 12 months out
If you’re planning a destination wedding, guests need enough notice to request time off, save, and book their own travel, so 10 to 12 months isn’t just about securing your venue, it’s about actually getting people there. Honeymoon suites and adults-only sections at popular resorts also book up well before the general room inventory does.
Group trips: 8 to 12 months out
The bigger the group, the earlier you need to start. Getting 10 or 20 people to agree on dates takes time on its own, and resorts often need advance notice to hold a block of rooms together, especially if you want everyone on the same floor or building. Waiting until 3 or 4 months out with a group usually means splitting people across room categories or buildings, which nobody wants to be the one to explain to the group chat.
When last-minute actually works
There are exceptions. If you’re flexible on destination and dates, and you’re traveling solo or as a couple without wedding or group logistics attached, booking 4 to 8 weeks out can occasionally land a good deal on unsold inventory. But “occasionally” is doing a lot of work in that sentence, it’s not a strategy you can plan a specific trip around, and it rarely works during peak weeks.
The real reason timing matters
It’s not just about price. It’s about choice. Early booking means you get to pick the room category, the view, the wing of the resort, the cabin, the dates that actually work for your group. Late booking means picking from what’s left. If you already know roughly when and where you want to go, the best move is to start the conversation now, even if you’re not ready to put down a deposit, so we can watch pricing and availability on your behalf and tell you the actual right moment to book.
